How do I add people to Workplace without email addresses?

As a system admin, you can choose to add employees without email addresses but via mobile phone number or by distributing an access code if they do not have a work email address or mobile number.
First of all, you need to enable this:
  1. From your News Feed, click Admin PanelAdmin Panel in the left menu.
  2. Click Settings.
  3. Scroll down to the Joining and access requests section.
  4. Click Compose next to Profile creation with access codes and Profile creation with mobile number depending on what you want to enable.
  5. Select Turn on for each option.
  6. Click Save for each option.
How to add people by mobile number directly on Workplace
If you are adding one or a few people to your Workplace by mobile phone number, the method in this section may be simplest. If you are adding many people, it may be worth adding them by CSV or XLSX import (scroll down to find out more).
  1. From your News Feed, click Admin PanelAdmin Panel in the left menu.
  2. Click People.
  3. Click Add People.
  4. Click either Add Multiple People or Add One Person.
  5. Select Mobile number in the dropdown box.
  6. Enter the mobile numbers or mobile number and other relevant information of the people or person you're inviting to Workplace.
    • Include the country code, with or without the plus sign. For example, you can enter +44 or just 44.
  7. Click Send invitations by text message or Send invitation by text message.
Note: Ensure all mobile phone numbers are correct. Once you have sent the invitations or invitation, people will have total access to your Workplace.
How to add people by access code directly on Workplace
If you are adding one or a few people to your Workplace by access code, the method in this section may be simplest. If you are adding many people, it may be worth adding them by CSV or XLSX import (scroll down to find out more).
If you want to add someone to your Workplace who does not have a work email address or mobile number, you can add them via access code.
  1. From your News Feed, click Admin PanelAdmin Panel in the left menu.
  2. Click People.
  3. Click Add People.
  4. Click Add one person.
    • You cannot select Add multiple people and then add via access code. If you want to add many people by access code, follow the steps for adding people by CSV or XLSX import below.
  5. Complete at least all required information and then click Add person.
How to distribute access codes
Once you have created access codes, you will need to distribute them.
You can do this on an individual basis or in bulk.
To distribute access codes individually:
  1. In the People section, search for the employee that you have just added.
  2. Click More options next to the employee's name.
  3. Click Get access code.
  4. Give the access code to the employee and ask them to sign up for Workplace at work.workplace.com/work/accesscode/. Here, they will create a username and password.
To distribute access codes in bulk:
  1. In the People section, click More options in the top right.
  2. Select Get access codes.
  3. Click Send. This will send a list of codes to your email address.
Note: Access codes are sensitive data. Anyone in possession of an unused access code will have full access to the account to which the code relates. Distribution of access codes should be tightly controlled.
More about access codes
  • They consist of a 16-character string of letters.
  • Only one is valid per account at any time.
  • Generating a new access code for a user invalidates all old codes.
  • They're valid for 90 days after generation.
  • When an access code is successfully used to claim or recover access to an account, the access code is invalidated.
  • Admins can deactivate an unused access code at any time.
How to add people without an email address by CSV or XLSX import
If you are adding many people without an email address to your Workplace at once, CSV or XLSX import may be the simplest method.
  1. From your News Feed, click Admin PanelAdmin Panel in the left menu.
  2. Click People/.
  3. Click Add People.
  4. Click Import a CSV or XLSX and download the CSV template.
  5. Enter all required information and save to your desktop.
    • When adding a user, you need to include a name and at least one of the following: email address; mobile phone number; or employee ID. If you're adding by mobile number, remember to include the country code with or without the plus sign. For example, you can enter +44 or just 44.
  6. Click Import File on Workplace and select your chosen file.
  7. Choose the language for these accounts and then click Set language.
  8. Review the accounts you're creating, then click Save changes.
For all users without an email address or mobile number, access codes will now be generated and you will need to distribute them (scroll up to learn how).
